Women Make Waves
Privacy Policy
Your privacy matters to us, as much as your safety. This policy explains, in plain words, what we collect, why, and what you can do about it.
1. Who we are
Women Make Waves is based in New South Wales, Australia. This policy explains how we collect, use, store and protect your personal information when you use our website, podcast, courses, mentorship, workshops, events and retreats.
We follow the Australian Privacy Principles under the Privacy Act 1988 (Cth). Because we also welcome women from Europe and the UK, we respect the rights you have under the GDPR and UK GDPR too.
2. What we collect
Information you give us
- Contact details: your name, email, phone number and country
- Booking details: the offers you join, your payments and instalment plans (card details are handled by Stripe, and we never see or store them)
- Health and wellbeing information: your answers to our safety questions, such as pregnancy, medication, physical health conditions, injuries and mental health, plus anything you choose to share about your goals and challenges
- Practice data: for example, the BOLT scores and notes you enter in our BOLT tracker or workbook
- Messages: anything you send us by email, form or social media
Information collected automatically
- How you use our website, such as the pages you visit, clicks, scrolling and the device and browser you use, collected through cookies and similar tools (see Cookies and analytics below)
- Whether you open or click our emails
Recordings and photos
- Live online sessions may be recorded and shared only with participants of that offer
- Photos or video may be taken at in-person events, and you can always ask not to appear
3. Your health information
Your health information is sensitive, and we treat it with extra care. We only collect it with your consent, only use it to keep you safe and support you, and only share it with the people who need it to run your offer (for example, a co-facilitator at a retreat). We never use it for marketing and never sell it.
4. How we use your information
- To deliver what you signed up for: access links, recordings, sessions, mentorship and events
- To keep you safe and adapt practices to your needs
- To process payments, instalments and refunds
- To send you emails about your offer, and our newsletter if you subscribe (you can unsubscribe at any time)
- To understand how our website and content are used, so we can improve them
- To show our ads to people likely to be interested, if you have agreed to marketing cookies
- To share testimonials, only with your permission
- To meet our legal, tax and insurance obligations
5. Who we share it with
We never sell your information. We share it only with trusted services that help us run Women Make Waves, and only what they need:
- Jotform for booking and registration forms
- Stripe for payments
- Mailchimp (Intuit) for emails and newsletters
- Google Workspace for email, calendars, documents and Google Meet sessions
- YouTube for course videos and recordings
- Supabase for our BOLT tracker
- Google Analytics, Google Tag Manager and Microsoft Clarity for website analytics
- Meta (Facebook and Instagram), if we run ads and you have agreed to marketing cookies
- Our website host, accountant or professional advisers, where needed
We may also share information if the law requires it, or if we believe someone is at serious risk of harm.
6. Overseas storage
Some of these services store information outside Australia, mainly in the United States and the European Union. We choose providers with strong security and privacy commitments, but by using our services you agree that your information may be stored and processed overseas.
7. Cookies and analytics
- Our website uses cookies and similar tools to work properly, understand how it is used, and measure our marketing.
- Google Analytics (with Google Signals) shows us which pages are visited and where visitors come from.
- Microsoft Clarity records how visitors move, click and scroll on our pages, so we can make them easier to use. It does not record what you type into forms.
- You can block or delete cookies in your browser settings, and opt out of Google Analytics with Google's browser add-on. Some parts of the site may not work as well without cookies.
8. How we keep it safe
- We use reputable services with encryption and secure access.
- Only the people running your offer can see your information.
- We keep your information only as long as we need it for the reasons above, or as long as the law requires (for example, financial records for tax). Then we delete it or make it anonymous.
- If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as the law requires.
9. Your rights
- Ask what information we hold about you, and get a copy
- Ask us to correct or update it
- Ask us to delete it, where we don't need to keep it by law
- Withdraw your consent, for example to marketing emails or testimonials
- Unsubscribe from emails at any time, using the link at the bottom of every email
- If you are in Europe or the UK, you can also object to or restrict how we use your information, ask to move it, and complain to your local data protection authority
You can enjoy our free content without giving your real name, but we need your real name and contact details to book you into an offer.
10. Questions and complaints
To ask about your information or make a privacy complaint, email us. We will reply within 30 days.
If you are not happy with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page.
